ClickUp

TL;DR

A ClickUp wiki fails when teams treat Docs like file attachments. The setup below gives you one Docs home per Space, a top-level “Company Wiki” Space, and template-backed pages so knowledge stays findable instead of rotting in someone’s task. For a team under 10, you only need the Unlimited plan ($7/user/mo) — Docs, wikis, and permissions are all included there; you do not need Business. Our ClickUp review covers the full feature trade-off; this guide is the Docs-specific build.

Why a ClickUp wiki is different from a folder of files

Most “company wiki” advice assumes Confluence or Notion. ClickUp Docs live inside your workspace next to the tasks they describe — a spec doc sits in the same List as the project building it. That proximity is the whole point: the doc and the work never drift apart. Our analysis of how to choose PM software flags this “docs-next-to-work” model as ClickUp’s strongest differentiator versus Asana or monday, where docs are more bolted-on.

If you’re coming from a fresh ClickUp workspace, start with the small-team setup guide first — this wiki build layers on top of a clean Space structure.

What you’ll build

  • A top-level Company Wiki Space for cross-team knowledge (handbook, onboarding, decisions).
  • Per-project Docs living inside each team Space, linked from their parent tasks.
  • A Docs template so every new page starts with the same structure.
  • Guest-safe permissions so clients see only what you share.
  • One search habit that makes the wiki actually used.

Step 1 — Create the Company Wiki Space

  1. In the left sidebar, click + New → Space and name it Company Wiki.
  2. Inside, create three Folders: Handbook, Processes, Decisions.
  3. Set the Space to Private initially, then add only the people who maintain it.

Why a dedicated Space instead of Docs scattered everywhere? Because ClickUp’s global search indexes Docs by Space, and a single Company Wiki Space gives every employee one predictable place to look first. Scattering policies across 12 project Spaces is how handbooks go stale.

Step 2 — Turn on Docs in each team Space

  1. Open a team Space (e.g., Acme Co from your client setup, or Internal Ops).
  2. Click + View → Doc at the Space, Folder, or List level.
  3. Name the first doc after its subject, not its author (e.g., Q4 Launch Spec, not Sarah's notes).

Docs inherit the parent’s permissions. A doc in a client Space stays client-only; a doc in Company Wiki stays internal. This automatic scoping is why ClickUp wikis stay compliant without a separate permissions tool.

Step 3 — Build the reusable Doc template

  1. In Company Wiki → Processes, create a doc TEMPLATE — Standard Page.
  2. Add headings: Purpose, Owner, Last reviewed, Related tasks, Body.
  3. Open … → Save as Template (or use the /template slash command inside any Doc).

Now every new page is + New Doc → Use Template. The “what goes in a page?” debate is settled once. This is the same template-discipline trick we use in the ClickUp automations guide — decide the structure once, execute forever.

  1. Open any task and click the Docs tab or type /doc in the description.
  2. Embed the relevant wiki page so the task and the spec sit together.
  3. Use @mentions of doc names inside task comments to cross-reference.

A doc attached to its task gets maintained because the work depends on it. A doc filed away in a handbook folder gets opened once and forgotten. Tie docs to tasks and they stay alive.

Step 5 — Set Guest visibility (if clients are in your workspace)

  1. Open the client Space → Share → Invite → add the client as a Guest (free on paid plans).
  2. Scope the Guest to that Space only.
  3. Mark internal wiki docs as Restricted so they never surface in a client’s search.

Guests are free on ClickUp paid plans, so a 6-person team can serve 20+ clients and keep an internal wiki without buying extra seats. Only internal editors need paid seats.

Team perspective: which ClickUp plan for a wiki under 10 people

If your team is under 10 people, the blunt call is start on Unlimited at $7/user/mo, not Business at $12. Docs, wikis, permissions, guest sharing, and search are all included in Unlimited — a wiki does not need Business-only features like custom exporting or advanced proofing. You only move to Business when you need Timeline views for roadmap planning or SSO for enterprise clients.

We’d pick ClickUp’s built-in Docs over a separate Notion or Confluence wiki specifically when the team already runs projects in ClickUp — the “doc next to the task” model removes a whole app to license and a whole context-switch to manage. But if your wiki is primarily long-form documentation with almost no linked tasks, a docs-first tool like Notion may read better. Resist buying Business just to “future-proof” a wiki; Unlimited covers 90% of internal-knowledge use cases.

Common mistakes teams make

  • Docs as attachments. Dumping a PDF into a task is not a wiki. Write the Doc in ClickUp so it’s searchable and linkable.
  • No template. Every page reinvents its structure — that’s where wikis rot.
  • One giant Space for everything. Permissions get messy; one misclick exposes the HR handbook to a contractor.
  • Forgetting to link to tasks. An orphaned doc is a forgotten doc.
